Withdrawal procedures

Step 1: Submit 'Notice of Withdrawal' online form by published deadline

If your child will be leaving before the start of a new term and fees have been paid, you must provide notice online by the withdrawal deadline to secure a refund of those fees, as set out in the College's Standard Terms and Conditions. No other form of notice will suffice. 

Withdrawal deadlines for the 2019/2020 school year

For children leaving at the end of Term 3 (2018/2019): 15 April 2019
For children leaving at the end of Term 1: 20 September 2019
For children leaving at the end of Term 2:24 January 2020
For children leaving at the end of Term 3: 13 April 2020

These deadlines are set so that families waiting for a place at the College have a reasonable opportunity to accept a place and so that the College can effectively plan and manage resources. They are, therefore, strictly adhered to.

Submit a Notice of Withdrawal. Please refer to this user guide on how to complete your notice of withdrawal online. Once you have submitted your notice of withdrawal, you will receive an automated email confirming the time and date stamp of your submission. The Registrar will then contact you within 72 hours to formally acknowledge your notice and advise you on the next steps.

If you have not yet advised your child of their withdrawal please let us know in your online notice of withdrawal by using the free text comments box provided. We will then ensure that their withdrawal remains confidential so that you can tell your child when the time is right for your family. Otherwise, the Registrar will ensure that all the relevant people and departments are informed of your child’s departure from the College.

Step 2: School documents, requests for references etc

If your notice of withdrawal is not confidential, the relevant School Office will be notified of your child’s withdrawal by Admissions and leaving reports will be compiled. Please direct any requests regarding these reports directly to your grade secretary or School Office.

Should your child’s new school require a reference from the Principal, or Head, please direct the query to the Principal of the school section in which your child is enrolled.

Please note that you may also make these requests prior to giving notice of withdrawal if you need to do so because of the admission process at the school(s) to which you are applying for your child.

Step 3: Managing your Gapps account

The UWCSEA Gapps Exit Strategy for Leavers is a guide for students (and parents) to extracting your data from the student-linked @gapps.uwcsea.edu.sg account.

There are three main topics covered in the document:

  1. Data on a school-owned laptop
  2. Data in your UWCSEA Google Account
  3. Data connected to your UWCSEA Google Account via single sign in (e.g., Mindmeister, Goodreads, Prezi, etc)

Step 4: Returning your student card and other resources

The Registrar will advise you when to return your student card for cancellation (we can arrange a transfer onto a visitor visa if you let us know in advance) when acknowledging your notice of withdrawal.

Textbooks and other College-owned resources (such as sports team kit or library books) should be handed in to the office or department who issued them. To this end the Middle and High School Offices will contact your child regarding the Leavers Form which your child need to complete before leaving the College.

All other passes and registration cards, i.e., student ID, parent/guardian ID, vehicle registration decal should be handed in to Reception on your child’s last day.

If you would like to donate any (gently) used uniforms for pre-loved uniform sales that raise funds for Global Concerns, contact:

  • Dover Campus: email the Kids in Cambodia GC to arrange the drop off point; they sell uniform, PE kit and school bags to raise funds for their GC
  • East Campus: email the Service team to arrange the drop off point and to confirm what items they are currently accepting

Please note: Enrolment for the new term will be cancelled where fees remain outstanding as at the withdrawal deadlines above.
